1. Which one are you?
| You are | Go to |
|---|---|
| A business that subscribes to Archus Lab, or a user in its workspace | Section A |
| Someone a business messaged using Archus Lab | Section B |
| An admin who wants to cut Archus Lab's access to a WhatsApp Business Account | Section C |
2. A — You are a workspace customer
Delete a single record yourself
In the application, open the contact and choose Delete contact, or open the conversation and choose Delete conversation. Deletion is immediate and removes message content and media along with the record.
Delete a user
A workspace administrator can remove a user under Settings → Team → Remove. That revokes access at once and deletes their profile; messages they sent remain in the conversation history as records of the business's own communications.
Delete the whole workspace
Under Settings → Workspace → Delete workspace. We ask for the workspace name and an administrator password to confirm. You may also request it in writing from an administrator's email address:
privacy@archuslab.com — include the workspace name and the WhatsApp business number connected to it.
Export first. Deletion is irreversible. Use Settings → Export to download contacts and conversation history before you start.
3. B — You are a contact of a business
If a business messaged you using Archus Lab, that business controls its record of you; we only hold it on their behalf. So:
- To stop the messages now, reply STOP in the conversation. Archus Lab records the opt-out immediately and blocks further template messages from that business.
- To have your data deleted, ask the business directly — it is the data controller and can delete you from its contacts in one action.
- If you cannot reach them, or they do not act, write to privacy@archuslab.com with the business's name and the WhatsApp number that messaged you. We will pass the request to that business, and where the law requires us to act ourselves, we will.
We will not delete a business's records on the word of a third party without verifying that the request is genuinely yours. Expect us to ask you to confirm from the number concerned.
4. C — Disconnecting a WhatsApp Business Account
You can cut our access from Meta's side at any time, without going through us:
- Open Meta Business Manager at business.facebook.com and select the business portfolio that owns the WABA.
- Go to Settings → Business assets → WhatsApp accounts and select the account.
- Under connected apps or partners, remove Archus Lab.
Our access tokens for that WABA stop working immediately. Message data already stored in your Archus Lab workspace is unaffected by this step — to remove that too, follow section A.
Meta also sends us a deletion signal when a user removes our app from their account. We honour it automatically: the associated tokens are revoked and the linked records are queued for deletion on the schedule in section 7.
5. What gets deleted
A workspace deletion removes:
- All contact records, including names, phone numbers, custom fields, tags, and consent history.
- All conversations: message content, media, internal notes, and assignment history.
- All message templates you authored in Archus Lab. Templates already approved on your WABA belong to your WABA — delete those in Meta Business Manager or before you disconnect.
- User accounts and profiles belonging to the workspace.
- WhatsApp access tokens and webhook subscriptions we hold for your number.
- Uploaded files and exports.
6. What we must keep, and for how long
| Kept | Why | How long |
|---|---|---|
| Invoices and payment records | Tax and accounting law | 7 years |
| Security and audit logs | Fraud and abuse investigation | 90 days |
| A suppression record of opted-out numbers | So an opt-out is not lost by re-import | Kept as a one-way hash, no name or content |
| Encrypted backups | Disaster recovery | Rolling 35 days, then overwritten |
7. Timing
- Immediate — access is revoked and the data disappears from the application.
- Within 30 days — records are purged from primary storage.
- Within 35 days — backups containing the data age out and are overwritten.
Ask for written confirmation and we will send it once the purge completes.
8. If something goes wrong
If a deletion request is not honoured, escalate to privacy@archuslab.com marked Escalation, or write to {{LEGAL_ENTITY}}, {{REGISTERED_ADDRESS_FULL}}. You also have the right to complain to the data protection authority where you live.
